Microsoft 365 Policy

This Microsoft 365 Policy outlines the terms that apply to Microsoft 365 services provided by Xarrvo. By purchasing or using a Microsoft 365 subscription through Xarrvo, you agree to comply with this Policy in addition to our Terms & Conditions and other applicable policies.
1. Microsoft 365 Services
Xarrvo supplies and manages Microsoft 365 subscriptions on behalf of our customers.
Microsoft 365 services are provided using Microsoft’s cloud infrastructure and remain subject to Microsoft’s licensing terms, service availability and platform policies.
2. Customer Responsibilities
Customers are responsible for:
- Paying all invoices by their due date.
- Maintaining accurate billing information.
- Ensuring users comply with Microsoft’s licensing requirements.
- Managing and maintaining their own Microsoft 365 data where appropriate.
- Keeping account credentials secure.
3. Non-Payment
Microsoft 365 subscriptions require ongoing payment to remain active.
If payment is not received by the applicable due date, Xarrvo reserves the right to cancel the associated Microsoft 365 subscription.
As Microsoft 365 is a subscription service provided by Microsoft, cancelled subscriptions may result in the permanent deletion of Microsoft 365 services and associated data in accordance with Microsoft’s service policies.
Customers are responsible for ensuring their Microsoft 365 subscription remains active by paying all invoices on time.
4. Account Deletion
Following cancellation due to non-payment, Microsoft may permanently delete the associated Microsoft 365 tenant, user accounts, mailboxes and stored data.
Once deleted, this may include, but is not limited to:
- Microsoft 365 user accounts.
- Exchange Online mailboxes.
- Emails and calendar data.
- OneDrive files.
- SharePoint data.
- Microsoft Teams data.
Once Microsoft permanently deletes a Microsoft 365 subscription or tenant, Xarrvo cannot recover or restore the deleted service or its data.
Customers acknowledge that recovery of deleted Microsoft 365 data is unlikely and, in many cases, may not be possible.
It is the customer’s responsibility to ensure their Microsoft 365 subscription remains active by maintaining timely payment of all invoices.
5. Backups and Data Retention
Customers are solely responsible for maintaining copies of any business-critical emails, files or other data stored within Microsoft 365.
Unless expressly agreed in writing, Xarrvo does not provide Microsoft 365 backup or archival services.
6. Limitation of Liability
To the maximum extent permitted by law, Xarrvo shall not be liable for any loss arising from:
- Suspension or cancellation due to non-payment.
- Microsoft account deletion.
- Loss of emails or files.
- Loss of Microsoft 365 data.
- Microsoft’s retention or deletion policies.
- Service interruptions or outages affecting Microsoft 365.
7. Changes to this Microsoft 365 Policy
Xarrvo reserves the right to amend or update this Microsoft 365 Policy at any time. Any changes become effective immediately upon publication on our website unless otherwise stated.
